Ambulette 2005 is the easiest and most comprehensive software package designed specifically for the dispatching and billing of Ambulette services.

Dispatching Features :

  • Create a comprehensive patient database including fields for address, phone, Medicaid account, insurance provider, alternate insurer and more.
  • Create trips easily using the Trip Wizard.
  • Every trip can have an unlimited number of legs with the ability to override pickup and drop addresses on any leg.
  • Address fields automatically fill in based on facility or patient addresses.
  • Search for trips using multiple search criteria: date range, facility, patient, driver and billing status. This flexible way of searching will then allow you to quickly answer questions like: Which trips are still unbilled? What trips did patient John Doe have from August 1st through August 20th? What activity did we have with Mercy Hospital last month? What trips were cancelled last quarter? What has driver Dan Sweeny done this month?
  • The Scheduled Trips feature allows you to setup recurring appointments and easily transfer them into the active dispatch with the push of a single button. Scheduled trips can be setup for a daily or weekly occurrence and can be set to auto select a specified number of days in advance.
  • Integrated Prior-Approvals for insurance billing automatically will fill the trip�s billing information including the service items/procedure codes, price, units and quantities. If any billing line has a Per Leg or Per Mile unit, then the software automatically adjusts the quantities from the actual dispatch information.
  • The color-coded dispatch screen will change colors in real-time as pickups and drops are nearing (green). If a pickup is late the leg will highlight yellow and if a drop is late the leg will highlight red.
  • For each leg on the dispatch you can right-click on the row to quickly: timestamp the actual pickup or drop times, open the trip or leg details, open patient or facility information, cancel a trip, and assign or change drivers.
  • Each leg has its own tracking of actual pickup time, drop time, miles traveled and assigned driver. As soon as all of the trip�s actual drop times are entered, the trip is automatically available for invoicing through the Invoice Wizard.
  • From the dispatch screen you can printout the days dispatch sheets. Each dispatch sheet will show all pickups and drops for your entire company, but each sheet is personalized for each driver by highlighting the pickups and drops that are assigned to that driver.
  • The dispatch sheets have a comment section which can be used for driver comments or drop-off stamps from the facility.

Billing Features :

  • Approval entry is made simple by the intuitive layout. Simply enter the patient name, valid date range, approval number, provider, procedure code and the number of times and quantity the approval is valid for.
  • Automatically track approval usage and search for approvals using multiple criteria: patient, date range, approval #, and customer.
  • Ambulette has a single Invoice Wizard for all billing methods including Medicaid, HCFA, and Private Payers.
  • Invoicing can be done easily on a daily, weekly, monthly basis at your discretion. As trips are completed they automatically appear in the Invoice Wizard where you can check off which trips to invoice.
  • Missing information such as blank approval numbers are listed on the Invoice Wizard and you are prevented from billing those trips until the errors are fixed.
  • Group multiple patients into single customers for day-care billing.
  • Units and price auto-fill on the trip form from the service items. Also billing lines of a trip can be setup for flat amounts, per leg or per mile and the system will automatically reflect the proper quantities from the dispatch.
  • Search for invoices using multiple criteria: date range, customer, patient, invoice #, batch #, and approval #.
  • Easily upload all your invoices into QuickBooks with the Upload Wizard.
  • Receive payments in QuickBooks to track open invoices and customer balances.

Technical Overview :

This Windows-based software has been built from the ground up on the latest Microsoft technologies including Microsoft SQL Server 2000 and Microsoft .NET. Ambulette 2005 is a client/server program and allows multiple users to access and use the software across a Microsoft Windows or TCP/IP network. Because the entire database is kept on a standard SQL Server, your company can access all data real-time and develop custom reports or inquiries if necessary.

* A Modem is required to upload the Medicaid files to the MMIS Gateway. Only one PC on your network will require a modem and a telephone connection whenever you process your billing. Microsoft Hyperterminal which comes with Windows will be used to dial-in, connect, and upload the Medicaid batches.

Security :

The Microsoft SQL server can automatically use your existing NT Domain accounts or you can create SQL specific user accounts all through the built-in User Manager. User accounts can have four levels of permissions: Dispatching, Accounting, Manager and Full permissions. The user manager also allows you to view the users that are connected to the database.
